In addition to transfer items, Ascent allows you to use transfer orders to move materials from one location to another. A pre-requirement of this activity is that users need to have locations set as “Transit”. A Transit Location can be either a physical location /transportation tools, or a logical location between departure location and destination location. So before we go further on “transfer orders”, we should make sure we at least have one related “transit” location.
To create a “transit” location, users can simple create a location and check the “Is Transit” box.
There is a tab named “Transfer Order”. Hit the tab and hit the “New” button.
First, users need to enter information on the transfer order, including “From Location”, “To location” and “Transit Location”. Again, the transit location must have been set as “Transit”.
Second, let’s build the transfer order lines. In transfer order page, hit “Add New Line” and select the item and quantity you want to transfer. Save it.
Once you save it, you will see that both quantity shipped and quantity received are 0.
Next, let’s start shipping items. On the top of transfer order page, there are two buttons: “Ship Items” and “Receive Items”. Hit the “Ship Items” button. It will open a new page for shipping details.
After you select the lines you want to ship this time, you will see the shipped lines details at the bottom of the page.
Please notice the highlighted field in the picture above. “Transit Time” means how many days it will take to move your item from your start point to your transit location. This is just a memo field. You can select any available inventories to ship. You will be required to select an existing lot number or create a new lot number for this transition. Please also notice that you can partially ship your items. For example, you can ship 200 tool kits at this time and ship the other 200 later.
Once you save shipped, you will see a “Success” notice. At this moment, in our particular example, 200 of your tool kits are neither counted in the From Location “Main Warehouse” nor in the To Location “Tool’s World”. Instead, they are counted in Transition Location “from Boston to Seattle”.
Next, let’s receive the transfer order we already shipped. Hit the “Receive Items” button in the transfer order page.
Similarly, select the lines you want to receive. You will be required to select a lot for your receiving items. You can select an existing lot or create a new lot for receiving items. Save received and get “Success” notice. Please notice, at this very moment, 200 of your tool kits are no longer counted in the Transition Location “from Boston to Seattle”. They are now counted in your To Location “Tool’s World”.
Let’s go back to transfer order page and check how many items we have shipped and received.
Obviously, we only transferred 200 of the total 400, so that the status of this transfer order is “Open”. You can continue to ship and receive items with any available quantities by similar operations until you complete all 400 items transition.
Another feature of transfer order in Ascent is that it allows users to reverse items no matter they are shipped or received. This feature is very helpful when you reject to receive the items or you figure out that you receive wrong items and want to ship them back.
Once you hit the “Reverse” button, you will see the change of both Qty. shipped and Qty. received.
